Wharton PTO Board Positions

President

We want YOU to be our next parent group president! We’re looking for a creative problem-solver who is comfortable delegating and who can help us focus on the agenda. A sense of humor and good attitude is a big plus—and if you know how to say “no” tactfully, even better. If you’re ready to play a substantial role in supporting our school, we want to hear from you!

 

Primary duties:

  • Serve as official representative of the PTO
  • Preside over PTO executive board meetings
  • Update the school community during Coffee with the Principal parent meetings
  • Serve as primary contact for the principal
  • Oversee PTO board committees

Estimated Time Commitment: 4 hours per week

 

Busiest Times of Year: Beginning of the year but flattens out; additional hours needed as special projects are desired and/or during big PTO events.

 

PRESIDENT-Elect

So you’d like to get more involved in the school parent group, but you’re not sure you’re ready to take the lead role? Our president elect position has your name written all over it. You’ll learn behind-the-scenes intel and be part of decision making on important issues throughout the year. You’ll help the president get things done—kind of like a superhero’s sidekick, but without the silly costume.

Primary duties:

  • Assist the president and perform the duties of the president if the president is absent or unable to serve. 

  • Participate in executive board meetings, provide input for decisions, and serve as an ambassador for the PTO and the school. 

  • Helps recruit PTO committee chairs 

Estimated Time Commitment: 1-2 hours per week

 

Busiest Times of Year: Beginning of the year but flattens out; additional hours needed as special projects are desired and/or during our big PTO events.

 

Treasurer

We have big plans to raise money and fund important projects for our school, and we need someone who likes to count every penny to help us do it. If you secretly love to categorize expenses, track income and spending, and create reports, you have what it takes to be our parent group treasurer. And you won’t be at it alone! The Treasurer Elect will be your trusted side-kick.

 

Primary duties (with assistance of Treasurer-Elect):

  • Deposit fundraising money, write checks for purchases and reimbursements, track income and spending in Membership Toolkit, and facilitate company matches
  • Work with hired bookkeeper to reconcile monthly
  • Prepare monthly financial reports in Membership Toolkit
  • Ensure taxes are filed timely 
  • Develop annual budget with the President
  • Serve on the Finance Committee, along with President, President Elect, Treasurer Elect, and two other board members

Estimated Time Commitment: 2-4 hours per week

 

Busiest Times of Year: Beginning of the year due to implementing a new budget; some late Spring/Summer work getting next year’s budget ready with guidance of the president. Providing assistance to committee chair(s) that run the PTO’s biggest fundraisers.

 

TREASURER-Elect

If you secretly love to categorize expenses, track income and spending, and create reports, but you’re not ready for the limelight, our Treasurer Elect position is waiting for you! In this position, you’ll work in tandem with the Treasurer to learn about the PTO’s budget, processes and financial needs.

Primary duties:

  • Assist the Treasurer in duties listed above and perform the duties of the Treasurer if the treasurer is absent or unable to serve
  • Serve on the Finance Committee, along with President, President Elect, Treasurer, and two other board members

Estimated Time Commitment: 1-2 hours per week

 

Busiest Times of Year: Beginning of the year due to implementing a new budget; some late Spring/Summer work getting next year’s budget ready with guidance of the president.  Assist Treasurer with biggest fundraisers.

SEcretary

Be honest—you’re the one in your friend group who documents everything, from your toddler’s first steps to how far you jogged yesterday, we have the perfect role for you. You’ll get to put your stellar record keeping skills and attention to detail to good use as our PTO secretary. You must have good listening and computer skills—and extra credit if you can follow what’s on TV and play Candy Crush at the same time.

 

Primary duties:

 

  • Schedules executive board meetings
  • Records and distributes executive board meeting minutes
  • Maintains agendas, minutes and other materials needed for PTO meetings
  • Works closely with Communications Chair to distribute PTO information

 

Estimated Time Commitment: 1-2 hours per week

 

Busiest Times of Year: PTO board meetings plus leading up to events where we require a lot of communication with school and parents.

 

member at-Large

If you want to help but don’t want to step into an executive role, the at-large board positions are a great place to start. As an at-large member, you put your skills to work in one or more areas – think fundraising, hospitality, parent liaison – based on your interests and become a connection between the board and the parent body. If you can take a project and run with it from beginning to end, we want to hear from you.

 

Primary duties

  • Attend general PTO board meetings
  • Act as the lead of the selected committee(s) and perform duties associated with it

Estimated Time Commitment: Varies widely depending on the committee the member serves on. In general, 2 hours per month to attend meetings plus additional hours to assist with board events or activities and committees. 

 

Busiest Times of Year: Seasonal depending on committee.
