2024-2025 Wharton PTO Board 

Role Descriptions

The Wharton PTO Executive Board is comprised of the following positions:

  • President
  • President-Elect
  • Immediate Past President
  • Secretary
  • Treasurer
  • Treasurer-Elect

According to our bylaws, we may have between 10 and 20 board members, elected annually.

All roles are asked to do the following:

  • Attend at least 8/10 monthly board meetings (in-person and virtual options are available)
  • Attend at least 1 Coffee with the Principal Session (in-person and virtual options are available)
  • Attend events hosted by PTO regularly
  • Lead a committee, if you are a member at-large
  • Support each of the year’s (2) large fundraisers in some capacity

WHARTON PTO BOARD COMMITTEES (led by Members At-Large)

Business Sponsorships

Identifies and builds partnerships with businesses and business owners in the community (within and outside of WDLA) who are interested in becoming sponsors for our school and events. Duties include creating and promoting annual giving sponsorship levels at the beginning of the school year, outreach to alumni, working with our treasurers to promote and ensure corporate matches are pursued and completed, and managing corporate sponsorship applications and solicitations. This position will work in partnership with all committees to manage business partnerships and donation or sponsorship requests.

 

Class Ambassador Liaison (Elementary School)

Serves as a communication link between class ambassadors and PTO leadership for the school year. Duties include helping teachers designate or identify class ambassador(s) at the beginning of the school year, establishing email lists and communication channels via WhatsApp to support class ambassadors in their efforts. This role collaborates closely with the Communications Committee to ensure information is coordinated and distributed in an effective and timely manner. The Class Ambassador Liaison also plays a key role in building community among class ambassadors and supporting ambassadors and PTO Committee Chairs in the solicitation and coordination of volunteers for events and activities.

 

Communications

Prepares and oversees the distribution of information via the various channels used throughout our school, including email and social media. Collaborate with committee chairs to distribute marketing materials, prepare special announcements and weekly school email newsletter. Update PTO calendar in Membership Toolkit, manage school’s social media accounts (Facebook, Instagram, X). Creates all setup needed in our PTO website to support various functions like school store, fundraisers, newsletters, calendars, member boards and parent membership configurations among others.

 

Community Engagement

Plans, markets, coordinates volunteers for, and oversees the execution of events that promote community building among WDLA. These include our annual Family Campout, Spirit Nights, Movie Nights, Game Nights, Garden Work Day, or park playdates. This chair will also coordinate with grade-level fundraising representatives.

 

Cultural Heritage

Celebrates the different groups that make up the Wharton DLA community. Key responsibilities for this role include organizing a community event during Hispanic Heritage month, September 15 - October 15, annually, and fostering community year-round among native Spanish speakers and beyond at Wharton. This committee also oversees the translation of materials that PTO leadership creates to ensure the information is accessible to our dual language families.

 

Fall Festival

Organizes and coordinates all aspects of producing our annual Fall Festival in October/November. Duties include running meetings, preparing marketing materials for distribution, recruiting volunteers, securing sponsorships, securing donations, managing day-of-the-event logistics, etc.

 

Hospitality

Assists with any hospitality events at Wharton, helping to create a welcoming atmosphere for students, family members, and staff. Our hospitality team helps with school and teacher appreciation events throughout the school year such as Back-to-School Teacher Training Week (2 weeks before classes resume), Sunshine Cart, and Teacher Appreciation Week in the first full week of May. This position will also coordinate with grade-level representatives.

 

¡Juntos! Eagle Run with Boosterthon

Plans and coordinates all aspects of our Eagle Run with Boosterthon. Duties include working with Boosterthon, recruiting parent volunteers and coordinating sponsorships along with the Corporate Sponsorship chair, plus planning and executing the event on the day of the run. This event will be held in the fall and funds raised will go toward needs identified by PTO leadership in collaboration with our school administration. This fundraiser will benefit programs including our International Baccalaureate Primary Years Program, enrichment programming, field trips, staff school supply reimbursements, and staff professional development grants to name a few!

 

Middle School Representative

A current middle school parent who serves as a link between the PTO and our Middle School administrator, teachers, and families to ensure communication and coordination around efforts and events. The Middle School Representative plays a key role in building community among Middle School families and encouraging engagement and support in PTO and school events, including fundraising efforts.

 

Spirit Wear

Coordinate Wharton spirit wear design, orders, and sales. Wharton spirit wear includes T-shirts and promotional items that are sold to the school community. Planning for the new school year’s themed shirt begins in the spring prior, so that teachers have the new shirt upon returning to school in August and families can order the new shirt at the beginning of the school year.

 

Spring Gala (Event)

The Spring Gala is one of the PTO’s largest annual fundraising events. The Spring Gala Event Chair will coordinate all aspects of producing the event and auction, including running meetings, preparing marketing materials for distribution, recruiting volunteers, managing auction, securing donations, etc. 

Duties include: identifying and securing the venue, catering and beverages, vendors such as DJ, etc. Coordinating ticket sales, planning the VIP reception.

 

Spring Gala (Silent & Live Auction)

The Spring Gala Auction Chair will collaborate with the Spring Gala Event Chair in carrying out the Spring Gala event. Specifically, they will oversee the coordination of donation items, social events, and auction baskets; set up the auction vendor website; coordinate collection and distribution of auction items (1-3 hours per week with additional time required as the event date nears).  

 

Wharton’s Dads’ Club

Plan and execute events that support WDLA PTO’s goals while building community among dads at our school.
